Once a user applies to cover a shift or to take Voluntary Time Off (VTO), the post owner and site Admins will receive notifications that an application has been made. The application status will convert to Pending. Once an Admin approves or denies the application, all parties will be notified and the application status will convert to Approved or Denied. If it is a shift that has been approved, the shift will transfer to appear in the Schedule macro view for the user who covered the shift. The employee will also receive a reminder notification 1 hour prior to the shift start time.
Managing Shift Applications
Admins have the ability to approve or deny shift applications. As applicants begin to apply to cover shifts, they will appear in a list view in the foreground of the shift details, allowing Admins to review each applicant and make the best selection based on qualifications.
Reviewing Shift Applications
When the shift card is opened, Admins are presented with an applicant list view displaying all of the users who have applied for the shift. The current selected applicant row is highlighted in blue. Admins can complete quick approvals by selecting any applicant in the list and tapping the green Approve button at the bottom of the card. Similarly, Admins can manage quick denials by tapping the grey Deny button and confirming the action.
To view the full applicant list, Admins can swipe up on the foreground card to be presented with a scrollable list view of the applicants. Tapping on the Sort icon in the top right corner will allow Admins to sort the list by Application Time, Job Title, or Applicant Name.
When a user row is highlighted, tapping on it again will bring the Admin into the Application Details view. They will see the same information the user viewed when they were considering applying for the shift including the user’s Profile Picture, Job Title, Shift Status, Scheduled Hours, Duration, and total hours if approved.
Schedule Analysis
An Admin can swipe up within this view to see the Schedule Analysis for the application and identify if there are any conflicts. Tapping on the Chat icon will open the Application Comments for this specific shift application.
Admin Actions
From the applicant list view, in the top right corner there is an Apply to Cover hyperlink underlined in blue. An Admin can click on this if they want to apply to cover the shift themselves. Admins can also use the Shift Comments to send updates about the shift that are visible to all members of the group to which the shift or VTO was posted.
