The Shyft Schedule Importer Tool allows location Admins to upload an Excel file with employee schedules, using a Shyft-provided template. Once the feature has been enabled for a location, Admins can access the importer tool by going to web.myshyft.com.
Uploading a Schedule via the Schedule Import Tool
1. Launch the Shyft Manager Dashboard, web.myshyft.com, and log in to your existing Shyft account.
2. Once logged in, via the sidebar menu on the left-hand side, select 'Imports'.
3. Click the blue 'Import' button on the upper right-hand side. From there, the instructions for importing a Schedule will appear on the screen.
4. Click 'Shyft Scheduler Import Template.xlsx' in the center of the page to Download the Excel File Template.
5. Once the template has downloaded, open it in Microsoft Excel.
6. After opening the template in Excel, there are 5 columns to input Schedule data: first_name, last_name, start_at, end_at, and cached_primary_job.
Notes: The data in the first four columns must adhere to the formatting guidelines listed below. The cached_primary_job is an optional field.
- First and Last Names must match the names of your team members as they appear in the app.
- Start and End times must be in the format of; yyyy-mm-dd hh:mm (Example: 2023-11-27 10:00).
7. Once the Schedule data is entered, save the file as a .csv or .xlsx format and go back to the 'Imports' page on the Shyft Manager Dashboard.
8. Click the blue 'Upload' button in the center of the page.
9. Select the file and click the blue 'Publish' button.
- Wait a few moments to allow the Upload to complete, and the results will appear after the Schedule has finished uploading.
- The file name and its Status, Completed or Failed, as well as how many shifts Succeeded and Failed will appear in the results screen.
- If there are Failed shifts, go back to the file to check that the formatting guidelines were followed for any shifts that may have been missed. When re-importing shifts, it is recommended to start from a new file template to avoid any past errors.
10. To double-check the results, click the Schedule tab (calendar icon) from the menu on the left-hand side, and scroll to check if the shifts have been imported correctly.
