Once a user applies to cover a shift or to take Voluntary Time Off (VTO), Admins will receive a notification that an application has been submitted and that the shift or VTO is Pending Admin approval.
Shift and VTO Applications
Admins have the ability to Approve or Deny shift and VTO applications. As employees begin to apply to cover shifts or to take VTO, they will appear in a list view in the foreground of the shift details, allowing Admins to review each applicant and make the best selection based on qualifications.
The current selected applicant is highlighted in blue. Admins can complete quick approvals by selecting any applicant in the list and tapping the green Approve button at the bottom of the card. Similarly, Admins can manage quick denials by tapping the grey Deny button and confirming the action.
To view the full applicant list, Admins can swipe up on the foreground card to be presented with a scrollable list view of the applicants. Tapping on the Sort icon in the top right corner will allow Admins to sort by Application Time (in which the first applicant appears at the top), Job Title, or Applicant Name.
Application Details
When a user row is highlighted, tapping on it again will bring the Admin into the Application Details view. They will see the same information the user viewed when they were considering applying for the shift including the user’s Profile Picture, Job Title, Shift Status, Scheduled Hours, Duration, and total hours if Approved.
Schedule Analysis
For Open and Team Shift applications, an Admin can swipe up within the half-card view to see the Schedule Analysis for the Pending shift and identify if there are any potential conflicts.
After Approving or Denying a Shift or VTO
After an Admin approves or denies the application, all parties will be notified and the application status will convert to Approved or Denied. If it is a shift that has been Approved, the shift will transfer to appear in the Schedule section for the user who covered the shift and in the Roster Card for Admins. The employee will also receive a reminder notification 1 hour prior to the shift start time.
